How an event venue went from phone calls and spreadsheets to a booking system that runs itself

NJS Royale Event Centre was growing fast, but tours, bookings and deposits were managed by hand. I built a Zoho CRM and Zoho Bookings system that captures every tour request, guides each client from tour to paid booking, and sends the right email at every step.

The situation

Where NJS Royale started

NJS Royale Event Centre hosts weddings, parties and corporate events across three halls. Demand was growing, but the booking process hadn't kept up.

Tours were arranged through calls and back-and-forth messages. Customer details lived in spreadsheets. Deposits and balances were tracked by hand, with no reminders. Nobody could see at a glance who had toured, who was ready to book, or which payments were outstanding.

The challenge

What had to be solved

That created real, costly problems:

Missed follow-ups. Interested clients who never heard back went elsewhere.
Unclear payments. No automatic reminders, so deposits slipped past their deadlines.
Hours of admin every week on tasks a system could do.
No pipeline visibility for management to forecast revenue.
The approach

How I tackled it, step by step

  1. 1

    Discovery

Mapped the full journey from tour request to event, including the three halls and the rule that balances are due 14 days before the event.

  2. 2

    Booking portal

Set up Zoho Bookings with 30-minute tour slots, a shareable link and QR code, and automatic hand-off into the CRM.

  3. 3

    CRM architecture

Built an 8-stage Event Booking pipeline with 30+ custom fields, field dependencies and layout rules.

  4. 4

    Automation

Created 9+ workflow rules for stage changes, deposit tracking, due dates and reminders.

  5. 5

    Emails & testing

Wrote and configured 30+ email templates, then tested every flow end to end.

01Tours that book themselves

Prospects pick a 30-minute slot on a branded booking page, from a link or a QR code. Every booking lands in Zoho CRM automatically, and cancellations sync back, so staff never re-type a tour.

02One pipeline from enquiry to event

A dedicated Event Booking pipeline tracks every client through eight stages: Tour Scheduled โ†’ Tour Completed โ†’ Interested in Booking โ†’ Payment Pending โ†’ Booking Confirmed โ†’ Event Completed โ†’ Closed / Lost.

03Three ways to pay, all tracked automatically

Clients can pay in one go, in two deposits or in three. Layout rules show staff only the fields that matter for the chosen plan, and field dependencies stop anyone picking a payment stage that doesn't fit that plan.

04Automation that does the chasing

Workflow rules convert leads to deals, update payment stages, calculate due dates, remind staff when a payment is due and send the fully-paid confirmation.

05The right email at every milestone

More than 30 templates cover tour follow-ups, payment notices, deposit receipts, overdue reminders, booking confirmations and post-event thank-yous.

The results

What changed for NJS Royale

Every tour request is captured the moment it's booked. No more lost follow-ups.
Staff see exactly where each client is, and deposits are tracked to the last payment with automatic reminders.
Clients get professional, timely emails at every step without anyone typing them.
Management can see the whole pipeline for forecasting.
Key decisions

The calls that made it work

Good systems come from good decisions. Here's what I chose, and why.

Build the pipeline around the venue's real journey

Generic sales stages don't fit event hire. The stages mirror exactly what happens: tour, interest, payment, confirmation, event.

Use layout rules instead of more fields

Staff only see the fields for the payment plan in front of them, which keeps records clean and training simple.

Encode the 14-day balance rule

The deadline is calculated automatically, so reminders go out on time without anyone checking a calendar.

"What Damilare built for us exceeded every expectation. We went from juggling spreadsheets and phone notes to having a system that practically runs itself. Every tour booking flows straight into our CRM, payments are tracked automatically, and our clients get professional emails at every step without us lifting a finger."

Is this for you?

A similar system could help ifโ€ฆ

  • You take bookings that involve a viewing, a deposit and a final payment.
  • Payments are tracked by hand or in spreadsheets.
  • You want clients to book themselves without phone tag.
  • You already use, or are open to, Zoho.
