Where Optimize My Data started
Optimize My Data implements Zoho for businesses across the Middle East. When they pitch Zoho Inventory and Books to a parts distributor or manufacturer, prospects want to see their own world on screen: warehouses, stock, VAT and invoices.
An empty account can't show that. They needed a realistic company they could open in any call, with no setup on the day.
What had to be solved
The demo had to:
How I tackled it, step by step
- 1
Design the company
Falcon Auto Spares Trading LLC, a Dubai distributor supplying garages and vehicle fleets.
- 2
Set up the organisation
Branding, AED currency, 5% VAT and branded estimate, sales order and invoice templates.
- 3
Load the master data
47 genuine and aftermarket parts (Bosch, Denso, NGK, Mann, Gates, Varta), 10 vendors, 15 B2B customers.
- 4
Create a transaction trail
Purchase orders, quotes, sales orders and invoices linked together, with payments and recurring fleet billing.
- 5
Polish and script
Populated dashboards, a QA pass and a 5-minute demo script.
Inside the system
01A believable business, ready to open
Two warehouses (Dubai and Abu Dhabi) with aisle, rack and shelf bin locations hold real-brand parts. Customers include garages, workshops and fleets, billed in AED with 5% VAT.
02Quote-to-cash, end to end
Every stage is linked: a purchase order brings stock into a bin, a quote becomes a sales order, the sales order becomes an invoice, and the invoice is paid. Fleet customers have monthly recurring invoices, so the demo also shows subscriptions.
03Made to present
Dashboards are populated so the home screen looks alive, every screen passed a QA check, and a 5-minute script walks a prospect through the story.
What changed for Optimize My Data
The calls that made it work
Good systems come from good decisions. Here's what I chose, and why.
Real brands, fictional company
Recognisable parts make the demo feel real to prospects, without exposing any real client's data.
A full transaction trail
Prospects trust what they can click through, so every document links to the next.
A similar system could help if…
- You're a Zoho partner or consultant who needs a credible demo.
- You sell into distribution, manufacturing or retail.
- You want prospects to see their own process in Zoho.
The demo lives in the partner's account, so this case study uses a diagram instead of screenshots. Every screenshot on this page comes from the real project; nothing is a mock-up.
